Transportation Coordinator

Responsible for coordinating own fleet operations and ensuring alignment with outsourced services.

Primary Duties and Responsibilities

Maintain close communication with drivers to manage daily operations effectively.

Coordinate between own fleet projects and outsourced operations.

Dispatch trucks to the appropriate clients based on schedule and need.

Arrange port appointments and ensure all necessary documentation is prepared.

Support the own-fleet planner with day-to-day logistics.

Coordinate with the Maintenance Supervisor to schedule and track maintenance.

Monitor and report on driver performance.

Coordinate with safety department to schedule the driver for weekly safety sessions

1. Logistics & Transportation Management

Knowledge of routing, scheduling, and dispatching

Understanding of transportation regulations and compliance (e.g., road safety, permits)

2. Organizational Skills

Ability to coordinate multiple transport activities and prioritize tasks efficiently

Time management to ensure on-time deliveries and pickups

3. Communication Skills

Clear and professional communication with drivers, vendors, and internal teams

Ability to document and relay information effectively (both written and verbal)

4. Problem-Solving

Ability to handle delays, route changes, or vehicle issues calmly and efficiently

Quick decision-making under pressure

5. Attention to Detail

Accurate record-keeping (e.g., logs, reports, compliance documents)

Monitoring of transport costs and efficiency

6. Technical Proficiency

Familiarity with transport management systems (TMS), GPS tracking, and scheduling software

Basic computer skills (Excel, email, data entry)

7. Customer Service Orientation

Ensuring timely and professional service delivery to clients or departments

Managing expectations and resolving complaints when needed

8. Team Coordination

Collaborating with drivers, warehouse staff, and other departments

Supervising or assisting in driver training and performance monitoring

9. Regulatory Knowledge

Awareness of local, regional, and national transport laws and safety standards

Ensuring fleet and drivers adhere to policies

10. Cost Management

Monitoring transport expenses

Looking for ways to reduce fuel, labor, and maintenance costs without compromising quality

Required Qualifications

Bachelor’s degree in Logistics, Supply Chain Management, Transport Management, or Business Administration

Professional Certifications (Preferred/Advantageous)

CILT (Chartered Institute of Logistics and Transport) certification

Certificate in Transport Management or Road Transport Operations.

1–3 years of relevant experience in transportation, logistics, or fleet coordination

Experience working with third-party logistics providers (3PL) or contracted drivers is a plus

Prior exposure to route planning, cost control, or dispatching systems is advantageous

IT & System Proficiency

Hands-on experience with:

Transport Management Systems (TMS)

Fleet tracking software (e.g., GPS, VTS)

Microsoft Office Suite, especially Excel and Outlook

Familiarity with ERP systems (e.g., SAP, Oracle) is a plus

Knowledge of Regulations & Compliance

Understanding of:

Local and national transport regulations

Driver hours of service rules

Vehicle maintenance standards and scheduling

Knowledge of customs clearance procedures (if international transport is involved)

Language Skills (Optional but useful)

Proficiency in English language
