Job Description

AECOM’s leading Urbanism + Planning end market are seeking a highly motivated and organized individual to join their dynamic team in Dubai as a Bid Coordinator. As a Senior Administrator- Bids, you will play a crucial role in supporting the Urbanism and Planning team by supporting Bid Specialists in preparing the proposals and independently leads the preparation of the prequalification submissions as required. This position offers an exciting opportunity for an individual with strong communication, organizational, and project management skills to contribute to the success of AECOM’s projects in the urbanism and planning sector.

Key Responsibilities:

  1. Bid Coordination:

  2. Collaborate with project managers, subject matter experts, and other stakeholders to develop winning bid strategies.

  3. Assist the Bid Specialist in the bid coordination process, ensuring compliance with AECOM brand guidelines and meeting client requirements for formal and informal solicitations such as Letters of Interest (LOIs), Expressions of Interest (EOIs), Requests for Qualifications (RFQ), and Requests for Proposals (RFP).

  4. Collect and compile proposal and presentation content from various sources, including company archives, sub-consulting firms, and technical content providers.

  5. Coordinate document layouts, printing, and binding for final production of projects.

  6. Manage the input of technical components and write non-technical sections.

  7. Develop and edit simple graphics to enhance proposal visuals.

  8. Thoroughly review and edit proposals to ensure clarity, coherence, and adherence to guidelines.

  9. Submit completed proposals to clients.

  10. Maintains a database of resumes and project profiles.

  11. Formats resumes + project profiles as per required RFP format.

  12. Proposal Development:

  13. Prepare, edit, and format proposals, ensuring compliance with client requirements and AECOM’s standards.

  14. Work closely with technical teams to translate complex technical information into clear and compelling content.

  15. Develop and maintain a library of standard proposal content for reuse and continuous improvement.

  16. Coordinate the writing of Project Summaries post-proposal submission.

  17. Maintain and update the proposal library and project profile library for reference and continuous improvement.

  18. Review, filter, and distribute tenders received from online tender search services.

  19. Quality Assurance:

  20. Ensure all proposals meet high-quality standards, align with AECOM’s branding guidelines, and effectively communicate the company’s capabilities.

  21. Conduct thorough quality checks to guarantee accuracy, completeness, and consistency in all proposal components.

Qualifications

  • 5-10 years’ experience in a relevant role

  • Relevant Diploma or Bachelor’s Degree in any field. Applied Sciences, Design, Planning, Engineering or is a preference.

  • Advanced skills in Microsoft applications such as Word and PowerPoint

  • Proposal support experience, preferably within a professional services firm

  • Excellent written communication skills including writing and editing – ability to communicate easily the required ideas or concept and tailor responses to client specifications

  • Understanding of graphic design and an eye for communicating content visually – can effectively use our brand guidelines and work with our corporate identity.

  • Skills in Adobe Creative specifically InDesign
