Job Purpose
The Client Engagement Receptionist will engage with consumers in person, over the phone, or online to build professional relationships by assisting consumers with services.
Key Accountabilities
Client Engagement Support:
Team player in efficient centralized intake system and open access system for consumers.
Welcoming consumers and visitors in a prompt, professional, and courteous manner and directing people to appropriate staff.
Open office and coordinate information flow (mail, phones, intra-agency requests) efficiently and accurately to appropriate person(s) and/or taking messages as needed.
Ability to provide problem solving assistance and crisis intervention to clients.
Maintain basic understanding and knowledge of agency services and programs in order to answer questions and direct calls appropriately.
Travel to various office locations to support client services, as needed and as applicable by region.
Financial:
Conduct accurate fee assessment to determine payor source and eligibility for private insurance, Medicaid, or Medicare.
Work with consumers to ensure Medicaid/insurance coverage and that client understands coverage, including assisting with or coordinating application assistance.
Inform and educate clients of financial responsibility, what to bring, and payment methods.
Collects and records co-payment from clients, completes accurate documentation of transactions, and reconciles daily deposits to receipts.
Accepting and tracking donations and daily receipts of cash and/or checks for transmittal to the finance team and receipt of packages and mail.
Record Keeping and Office Administration:
Process incoming faxes and medical records request in a timely manner.
Accurately inputting information into Credible Practice Management System and other program databases. Enter data, schedule intake/follow-up appointments, and update information.
Complete and process “Release of Information” forms to obtain necessary clinical and other data significant to a client’s care.
Processes client documentation through DocuSign and assists with file management based on agency protocols and state regulation.
Preparing and collating copies of internal documents and packets.
Assists with maintaining office supply inventory and monitoring supplies on hand.
. Requirements:
Qualifications
High school diploma or equivalent required.
Two years college coursework or non-profit experience equivalent preferred.
Fluent in English and another language preferred (Spanish, Kurdish, Arabic, etc.)
Exhibit a passion for working with vulnerable and diverse populations.
Display a comfort level in working with stressful individual/family dynamics.
Displays a courteous and caring attitude at all times to the clientele, volunteers, and visitors of the agency.
Cooperates and collaborates with program area staff, volunteers, and other Agency staff.
Is dependable and punctual regarding scheduling and attendance.
Ability to multi-task, problem solve, attention to detail, organizational skills, and use discretion and judgment within areas of responsibility.
Computer literacy in Microsoft Office Suite.
Valid driver’s License, current auto insurance, and ability to drive for organization business
Working Conditions
Must be able to work a flexible schedule, including evenings and weekends and provide support for other site offices as assigned.
May office out of multiple locations.
Office environment with remote access.
Physical Requirements
Must be able to sit at desk and work at a computer screen for hours at a time.
Ability to lift up to 50 pounds.
