ROLE SUMMARY:

The Admin Officer is a member of the Operation Team at the Blumont Erbil Office. The Admin Officer will be responsible for ensuring that all Administration procedures and policies are in place and managing Proper office management daily. Responsible for applications and renewals of licenses with the relevant government authorities. Process leases for the office and follow up on renewal and termination of the leases. Ensure repairs and maintenance services for the office are managed well. Ensure all payments of utility bills for office and guest houses; water, electricity, and security are processed on time.

  • The role reports to the Deputy Country Director- Operations

 

KEY AREAS OF ACCOUNTABILITY

The main responsibilities for this position are below: 

  • Booking and updating flight schedules of staff between Erbil and other airports and vice-versa.
  • When the necessary booking of hotel accommodation for national and international staff.
  • When necessary, assist the logistics team in booking conference rooms. for workshops and other activities of the program.
  • Manages and operates the central switchboard and visitors’ attendance.
  • Organizes and prepares all travel arrangements: hotel, and airplane ticket bookings and other mission needs for staff.
  • Receives and dispatches all office communication and distributes incoming information.
  • Filing and archiving for administration purposes.
  • Drafts and processes standard and administrative correspondence; photocopies, scans, and collates documents as requested.
  • Translates and interprets, as appropriate.
  • Assists in the preparation of meetings. Manages the meeting/conference room bookings.
  • Maintains an overview of expatriate staff’s visa and residence permit situation and makes necessary follow-ups.
  • Assists in managing administration and finance operational tasks, as appropriate.
  • Manage all lease agreements and track all agreements accordingly.
  • Manage cleaners and drivers.
  • Managing the Blumont reception.
  • Manage facilities in the Blumont office.
  • Support other admin staff in different locations.

Qualifications & Preferred Skills

Required Skills & Qualifications:

  • Bachelor’s degree in administration, Engineering, or other related
  • Up to one year of relevant work experience, including experience with a Company or international NGO managing an office or program.
  • Experience with Logistics and Admin in an insecure environment.
  • Knowledge of basic operating procedures in high-risk environments.
  • Strong communication skills: English, Kurdish & and Arabic require spoken and written.
  • Strong analytical capacity

 

EXPECTATIONS:

This is a short-term contract.
