In 2003, following the start of foreign military operations in Iraq, DRC became one of the first organisations to provide humanitarian assistance in the country and now operates in Basra, Baqubah, Jalawla, Gatoon, Baghdad, Muqdadiya, Balad, Aziz Balad, Samarra, Mosul, Duhok, Telafar, Baa’j, Sinjar, and Erbil.

Overall purpose of the role: Responsible for performing general Human Resources and Administration functions, playing a key role in the overall HR functions including staff recruitment, contracts preparations, staff leaves/attendance, timesheets tracking and smooth administration function to run the office.

Responsibilities:

Human Resources:

  • Assist in ensuring staff compliance with human resources polices, as per DRC’s Operations Handbook and local HR Handbook.
  • Ensure that leave, recruitment, and training trackers are updated on a regular basis.
  • Monitor staff attendance and ensure that all staff timesheets are submitted and filed on time.
  • Assist in communicating with interview candidates and scheduling for tests and interviews.
  • Prepare employee contracts.
  • Responsible for ensuring the following are accurate, complete, and up to date: -personnel files, administration of health insurance scheme, social security,
  • Assist managers and staff on effective performance management and administer the collation of performance management documentation.
  • Ensure new staff receive an appropriate orientation and induction.
  • Ensure clearance and debriefing is carried out for exiting staff.
  • Support staff development activities including promoting the DRC Learning Catalogue.

 

Administration

  • Maintain and update lease agreements and coordinate lease renewals for office space, guesthouses, and other rented spaces.
  • Serve as the point of contact for landlords.
  • Coordinate the handover of leased properties and ensure that any security deposits are refunded on time.
  • Ensure overall efficiency by managing the administration function.
  • Ensure that the office and guesthouse stocks and supplies are in place and that they are being used. All supplies record are maintain up to date.
  • Ensure that all utility payments are made on time.
  • Organize meetings for the senior management team and provide other administrative support as needed.
  • Monitoring staff ID and ensuring that all employees receive their ID on time.
  •  Staff’s monthly credit card (Asia Cell) recharges on time]

 

 Experience and technical competencies: 

  •  Minimum 1 year’s relevant work experience in similar field
  • Advanced English proficiency
  • Fluency in local language
