The Project Coordinator manages pre-production and production deliverables for International markets for assigned brands. He/she works closely with (Senior) Production Artists and Manager, International Graphics to ensure mechanical artwork and deliverables are met.
Specifically, this position will:
Copy & Translation Coordination
- Conduct preliminary review of US Final Copy documents in conjunction with Production Turnovers (PTOs) to identify potential challenges for International layout.
- Coordinate and track consolidated translation requests for assigned brands.
- Communicate availability of new translations to Production Artists.
- Maintain updated multi-language master copy templates for assigned brands, ensuring consistency of translations and organization of server.
- Review third party monthly invoices for accuracy of translation service charges and elevate discrepancies or approval status to Manager.
Preparation & Coordination of Assets
- Maintain International Artwork Tracker daily for assigned brands.
- Assign and monitor workload to (Senior) Production Artists to ensure projects remain on time, redistributing project assignments as necessary.
- Track/oversee progress of projects for assigned brands and communicate with internal team and cross-functional teams to ensure deadlines are met.
- Anticipate and communicate potential risks to on-time artwork release to Manager, International Graphics and cross-functional partners.
- Perform all necessary project management and status tracking tasks for assigned special projects (eg – Change Management).
- Create whiteboards of large cross-category programs.
- Assist Manager in creating/updating one sheets, guides and training materials.
International Mechanical Layout, Routing & Release
- As situations require (eg – peak workload times), flex in to leverage knowledge in art production/print process to support decision-making and execute International design while maintaining original design integrity and intent.
- Support the development of print-ready mechanicals for assigned brands based on supplied assets (US mechanical, multi-language copy, codes, specifications, etc.) to IBM expectations.
- Route and update mechanicals as necessary to adhere to all Legal, Regulatory, Packaging and Language requirements.
- Create and maintain Arabic request templates in Adobe Illustrator as necessary.
- Prepare and release approved mechanical files and corresponding images to vendors within 5-7 business days of US mechanical release.
- Implement Change Management requests for assigned brands.
Qualifications
- 2-5 years mechanical, technical or production design experience
- Microsoft Excel, Word, PowerPoint
- Knowledge of Adobe Creative Suite, primarily Illustrator a plus
- Knowledge of art production, pre-press and printing process a plus
- Foreign languages a plus
- Flexibility in dealing with and adapting to change
- Detail-oriented, well-organized and able to thrive in a deadline driven environment
- Problem-solving skills and project management competence
- Ability to build strong partnerships across functions and work successfully in a team environment
