Job Description
Summary
The R&P Program Specialist primary responsibilities focus on supporting the resettlement team during the Reception and Placement period by ensuring high quality program implementation and compliance. The objectives of the R&P specialist position include implementing the monitoring framework to the funders, developing and implementing a digitized file system and ensuring compliance of R&P documentation requirements. This position will also build capacity within the resettlement team and other office staff members with onboarding, training and orientations to the R&P program.
Major Responsibilities
Review case files documentation and case notes by the 60th and 90th day of clients’ arrival.
Work across programs to ensure programs providing services are adequately documenting service delivery
Develop orientations and training to support team members in meeting requirements and providing optimal services in accordance with grant requirements.
Implement systems to review R&P reports, budgets and self-sufficiency plans for quality assurance and compliance
Develop trainings and tools for resettlement team members to improve documentation of services
Work with the team to gather and organize documents from paper to migrate to electronic files
Work with the team to migrant forms, receipts, and reports into electronic format, saving them with established naming conventions.
Create and update digital files in accordance with Standard Operating Procedures
Audit files to ensure documents have been uploaded correctly; search for missing records as needed.
Track and report work progress.
Train and monitor staff members on electronic file systems.
Other R&P duties as assigned.
Qualifications
Job Requirements
1-2+ years of experience in refugee US resettlement program strongly preferred.
1-2+ years of experience working on the Reception and Placement program
Computer skills, including knowledge of Microsoft Office Suite; familiarity with ETO and other databases a plus.
Strong written and oral communication skills; ability to communicate effectively with colleagues and clients.
Ability to work in a multi-cultural environment
Work requires both independent and working closely with team members
Strong organizational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines; strong attention to detail.
Fluency in English required.
Fluency in a language spoken by one or more of the refugee groups IRC is serving (Sango, Spanish, Arabic, Rohingya, Swahili, Kinyarwanda, and Tigrinya) preferred.
Working Environment:
A combination of standard office environment, remote work, and “field” time in and around the service delivery area. Due to current COVID-19 restrictions, this position may initially consist of remote work, though applicants should be prepared to potentially shift to onsite service delivery. Work arrangements and re-opening procedures are being evaluated on an ongoing basis to protect the health and safety of IRC staff and clients. All in-office and field work will require strict adherence to all local and IRC-specific PPE and social distancing policies.
