Job Description

Summary

The R&P Program Specialist primary responsibilities focus on supporting the resettlement team during the Reception and Placement period by ensuring high quality program implementation and compliance. The objectives of the R&P specialist position include implementing the monitoring framework to the funders, developing and implementing a digitized file system and ensuring compliance of R&P documentation requirements. This position will also build capacity within the resettlement team and other office staff members with onboarding, training and orientations to the R&P program.

Major Responsibilities

 Review case files documentation and case notes by the 60th and 90th day of clients’ arrival.

 Work across programs to ensure programs providing services are adequately documenting service delivery

 Develop orientations and training to support team members in meeting requirements and providing optimal services in accordance with grant requirements.

 Implement systems to review R&P reports, budgets and self-sufficiency plans for quality assurance and compliance

 Develop trainings and tools for resettlement team members to improve documentation of services

 Work with the team to gather and organize documents from paper to migrate to electronic files

 Work with the team to migrant forms, receipts, and reports into electronic format, saving them with established naming conventions.

 Create and update digital files in accordance with Standard Operating Procedures

 Audit files to ensure documents have been uploaded correctly; search for missing records as needed.

 Track and report work progress.

 Train and monitor staff members on electronic file systems.

 Other R&P duties as assigned.

Qualifications

Job Requirements

1-2+ years of experience in refugee US resettlement program strongly preferred.

1-2+ years of experience working on the Reception and Placement program

Computer skills, including knowledge of Microsoft Office Suite; familiarity with ETO and other databases a plus.

Strong written and oral communication skills; ability to communicate effectively with colleagues and clients.

Ability to work in a multi-cultural environment

Work requires both independent and working closely with team members

Strong organizational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines; strong attention to detail.

Fluency in English required.

Fluency in a language spoken by one or more of the refugee groups IRC is serving (Sango, Spanish, Arabic, Rohingya, Swahili, Kinyarwanda, and Tigrinya) preferred.

Working Environment:
A combination of standard office environment, remote work, and “field” time in and around the service delivery area. Due to current COVID-19 restrictions, this position may initially consist of remote work, though applicants should be prepared to potentially shift to onsite service delivery. Work arrangements and re-opening procedures are being evaluated on an ongoing basis to protect the health and safety of IRC staff and clients. All in-office and field work will require strict adherence to all local and IRC-specific PPE and social distancing policies.
